Flagstaff Area ATV Club Meeting Minutes – April 8, 2018

33  members and guest were present. Meeting was brought to order at 10:00 a.m. By President Edie Dunlap with the pledge of allegiance.

Presidents Report:  Edie Dunlap,  breezy1@tdstelme.net

  • HELP WANTED: Ee are in need of a Secretary and Treasurer; we have a laptop, and printer/scanner/fax machine for the position. Please call Edie Dunlap at 207 643 2920. We will be trying our hardest to get a newsletter out by mail and on our website, if no one steps forward to help their club most months no newsletter will go out or be posted.  : > (
  • Members please contact Edie Dunlap 207-643-2920 or Sandie Isgro 207-246-2922 if you could help with these positions. Your trails depend on club members donating their expertise and help.   
  • Motion made and carried to pay for Pine Tree Society Donation $100.00.
  • Motion made to table funds requested from Maine Game Warden Foundation.
  • Received a Thank You from Western Me. Community Action Santa Claus Ride for our donation.
  • Received a Thank You from Sandra Eulian for our great trails.
  • Motion made and carried to join ATV Me again.  $30.00. Our major reason for joining ATV Me was the Insurance coverage for our club and landowners.
  • FREE for out of state Resident, Augusta 10, 11, and 12 for non-resident weekend riding. You will not have to register your machine this weekend as long as you are registered in your state.
  • Decisions will be made next meeting for club rides.  Tim Pond, Tea Pond, Red Onion, Bar Q Picnic.
  • Oquossic Club will be visiting our trails in July.  Welcome to our trail system.
  • Skowhegan Savings issued us debit cards, one for the president and trail master. This will be easier to do purchases and less paper work.
  • Change the name of the Annual State Tax Report ($15.00) President will do it now.
  • Municipal grant last year we received a total of $21,105.00 from the state. $12,814.00 was spent for the trail projects that were required by our land owners and the balance from the volunteer’s laborers was put into the treasury.
  • Our Liability Ins. Was $1236.00 with V&V Ins. (which is with ATV Me). We received a refund of $236.00 by ATV Me for the Ins. Liability on equipment is $571.00
  • Town Hall Bill has been paid for this year meeting and copying. $120.00.  Thanks to Don for getting the sign board set up for our meetings.
  • We were over $25,000 at the end of the year in the treasurer which put us over what we are allowed for non-profit. The officers and board of director members decided to use some of the money to upgrade the club side by side, as the old one was 8 years old and require a lot of maintenance. Working with REV IT UP Sports in Rangeley we were offered $4,300.00 for it toward a new side by side trade in for $10,750.00.  The club paid $10,300.00 for the old one 8 years ago. The purchase was made and now the club has upgraded all our large equipment.

  • You will all notice that the State of Maine has put up the new state signs.  No UTV’s over 60” aloud on the landowners trails. The State has put these signs up per -request of the landowners not the club.  If we don’t follow the law we will lose more trails.
  • Moose Trail at this point is still a trail not a complete loop.
  • The club has mailed our 233 applications on March 26th  Elaine has been helping us with getting things set up for us to mail the packets out the third week of May. Thanks Elaine.
  • As of now we have received 53 memberships 8 Business and 45 members.

  • We have paid out in bills $483.65
  • Deposits from memberships were $1,875.00
  • We are in good shape to start our 2018 season.
  • Trail Fund has $1,350.19
  • Spend for material $188.99    Balance is $1,161.20
  • 50/50 Raffle was $44.00 Winner was Don Plante for $22.00 thank you to Don for donating back to the club.

Trail Master Report: Joe Marcoux,  erm@myfairpoint.net

  • Bought material to make a weather proof tool box for the new side by side.
  • Sent out 14 landowner’s permits we have received 6 back so far.
  • Have called corporate landowners,  AFM are ok as of now, Wagner still waiting for return call, Where Houser has the Lake Loop closed for logging, while let us know when it will reopen.
  • Will be adding two more intersection on our trail system.
  • As soon as the snow melts and it’s dry enough I will be out working and signage on our trails.  
  • As of now the trails will open on May 26 Saturday, will update more on trails at our next meeting May 20th Sunday.
  • All members are encouraged to take pictures of anyone on ATV’s destroying our trails or breaking the rules and send the picture to the warden service at scott.m.stevens@maine.gov  or call 1-800-452-4664.

Our next meeting will be Sunday, May 20th, 2018 at 10:00 at the Community Hall in Stratton.
