Flagstaff Area ATV Club Meeting Minutes – September 10th, 2016

42 guest (landowners) and members were present. Meeting was brought to order at 12:45p.m. By President Don Plante at our Landowners Picnic Appreciating Day.

Presidents Report:  Don Plante, damp@tds.net

  • Welcome landowners and members to our Landowners Appreciation /Club Picnic.  The club again wants to express our appreciation for allowing our trails through your land without your corporation we wouldn’t have a club or trail system that we have.  We emphasize to you landowners if at any time there is any problems or issues please get back to any of the officers and these will be addressed A.S.A.P.
  • We have a member that has stated she is interested in our Secretary position. This is Rosemarie Spaulding.  A special vote from the club members was done to install her for one month.  Then at the last meeting of our season when elections are done for all officers as stated in our by-laws we can renew her title for a year at that time.

Treasurer Report:  Elaine Marcoux, erm@myfairpoint.net

  • We paid out a total of 618.95,  Toy Ride 100.00 ,ATV ME dues 130.00, Stamps to finish off the year 70.50, Trail master (gas) for two month 168.45 and Patrick Dempsey The Hamilton’s 150.00. We made deposits that total 326.80 which in from maps, membership and trail donation boxes.
  • I have the grant almost finish and after I collect our receipts from all who made and dontions food to the picnic I can total it and send it off by Monday. Because we will get up to $500.00 for doing a landowner appreciation day for them.  As of right now we have 12,626.75.  The volunteers did great this year we had over 9 volunteer that have put in over  645 hours this year.  Awesome job volunteers and Thank you for your very hard work maintaining our trails that we all enjoy and many visitors do also.    
  • Will update you with our totals at nexts month meeting, we are doing o.k.
  • We do need to look into up grading some equipment after the grant comes in.  We have items that we need to replace because of age and always repairing them. After our grant is in we should have about $4,000.00 to upgrade some equipment.
  • The winner of the 50/ 50 Raffle was Joe Gallant $25.00.  He gave it back to the club funds.   Thank You Joe.

  • We are doing well with memberships we have 176 as of now and last year at this time we had 158.  So thank you to all new and old members.

Trail Master Joe Marcoux Report, erm@myfairpoint.net

  • August 18th – Carl and I moved rocks on the Tim Pond trail and the Sawyer Brook trail.
  • August 30th – Carl and I worked on the pole line and powerline moving rocks and worked on drainage with some holes on these trails.
  • On Monday, Septemeber 12th we will meet again with the officers of the Snowmobile club and the ATV officers. We are still talking and working on ideas that will work for both of clubs to benefit better trails…
  • Jimmy Brochu has put up gates on the snowmobile trail behind his gas station that connects to the powerline.   Because ATV riders are using it and are not reading the NO ATV signs per landowner.  That trail is only for snowmobiling.
  • We have an Associate trail master now name is Shane Spaulding his main work will be signage and brushing around the sign areas.  Also will help me on projects and when I am away from my camp he will check out question and problem in my absent.
  • We need trailers or one large (long) one to haul our equipment around. Was motion and approved for Joe to check out trailers and get prices for the final meeting.

Our next meeting will be October 9th at the Community Hall in Stratton at 10:00a.m.  This will be our final meeting of the season; elections for officers will take place at that meeting.  Please try to attend with your to place your vote.

Flagstaff Area ATV Club Meeting Minutes – August 13th, 2016

39 guests and members were present. Meeting was brought to order at 1:00pm by President Don Plante at our club ride to Tim Pond Camps.

  • Received an email from Brian Bronson requiring MOTORCYCLES. It states: For clarification less there be any confusion let me state for the record that  AFM, Wagner, Plum Creek (Weyerhaeuser) and CMP all prohibit Motorcycles on their land whether they are registered as ATV’s or not. That is why any trails on those properties should be signed to NO Motorcycles!
  • Landowners Picnic will be Sept 10th Saturday at Site O on Eustis Ridge Rd across from Cathedral Pines Campground. Starts at 12:00 noon all are welcome.  Remember if anyone is bringing in food items we will need a receipt for our grant. If anyone has not offer to make to bring something in please call or email Elaine at 229-2055 or erm@myfairpoint.net.  If its inclement weather the picnic will be in the Community Hall were our meetings are held.  
  • We revieved a letter from Scott Ramsey stating his retirement from Director of off Rd Recreational Vehicles Office.  As of right now no replacement has been appointed and we will be dealing with Brian Bronson.
  • We received our invoice from ATV Me for our general Liability Ins. The same cost will be $600.00 as last year.
  • October is election of officers we are in need of a Secretary, Treasurer and Membership Rep.  Hopefully someone will step up and help us out.  Anyone wanting to run for any officers position please make yourself known.

  • We have got our 1000 ATV stickers in.  $458.93 with tax.  First time this year we buy stamps $70.50, thanks to all too gave on our stamp fund.  ATV Me Ins. $600.00, we needed to order checks for $23.40.  Total paid out was $1,152.83.   Total deposited for membership, maps and donations was $561.68.
  • Our books are looking very good right now and will update better after our landowner’s picnic.
  • I have the grant estimate logged in up to date we have over $10,500 so far we should be o.k. for our grant again this year. Will be sending it in after our Landowners Picnic.

Membership Report: Elaine Marcoux, erm@myfairpoint.net

  • At Julys monthly meeting Warren Davey from Vermont a member thanked the volunteers for the hard work we do for the club.
  • We have 173 members; we had 156 last year at this time.
  • We have 32 Business renewed this year.
  • Just an update on the status on our memberships. We have 32 businesses out of 173, now we have 151 then out of town members of 109 leaving us with 42 left and 26 out of state, with only 16 in town (Stratton/Eustis).
  • We had great turn outs on our club rides this year.  Tea Pond ride was July 16th we had 53 guests and members, and 30 machines. And the Tim Pond ride Aug 13th we had over 30 guests and members with 21 machines.  This day was a very nice rainy day, we had a lot of fun, and a couple of members got very wet. One hit his kill switch and was pulled into the camps and one machine just dies a couple of minutes before Tim Pond and was pulled in and later trucked out on a trailer. Over all we had a great time with guest and members.

  • July 10 – Carl and I worked the Natanis trail drained a hole and made a ditch and fixed some holes.
  • July 15 – Carl and I repaired a hole on the bridge on the Plum Creek Rd off Route 27.
  • July 17 – Elaine and I moved rocks and fixed a water bar by Brouhc’s bridge.
  • Aug 12 – I and Brian Bronson checked out Rt 27 to Plum Creek Rd. trail for work to be done by the State on fixing that trail. And checking out a request from a landowner on four wheelers washing their machines in the brook on one of our trails. This is against the Law!
  • On Wednesday Aug 17 the officers of the Snowmobile club and ATV club will have a meeting on how we can work together to get our trails that we share together.  
  • Reminder as of Sept 1st the Penobscot Indian Land trail will close for the season.

  • Welcome Mike Lee  ATV Maine,  V. P Rep.
  • Family Fun Day was a success, Thank You for all the help!  You did a great job.
  • Lobster Raffle was won by Patrick Stark from Eustis.
  • Tea Pond Ride Rain or Shine next Saturday the 16th. The cost is $13.00 per person and Elaine will be collecting the money before we leave on our ride. This will help us when we get to Tea Pond and we can all go to eat and visit with one another. We all meet at Pines Parking lot which is intersection 1 on your maps at 8:45 to 9:00.  The ride starts at 9:05.
  • Tim Pond ride is Aug 13 Saturday, call Don Plante or email him if you want to go.  Deadline for calls will be Aug 6th. We will be having a short meeting that month at Tim Pond.  We will meet at Pines Parking Intersection 1 at 8:45 to 9:00.
  • Don is looking into ways to catch the dirt bikers who are trashing the trails. The landowners have the last say over who rides on their land and on what type of vehicle.

  • Still trying to get permission from the landowner to connect the two ends between Rangeley and Phillips for the Moose Loop.

Treasurer Report:  Elaine Marcoux erm@myfairpoint.net

  • We did well again this year Thanks to our members Jeff and Linda Bureau, Nancy Charest and Marylnn Dodge for there hours of work with fried dough, french fries and strawberry shortcake. Fried station made $293.00, Cakes station made $262.00, Membership was $160.00, Clothes $45.00, Maps 15.00 and 50/50 Raffle was $42.00.  Many Thanks to all who sold the lobster raffles tickets $750.00 bring our total to $1,567.00.  With the $508.00 on Memorial Day weekend bring our fund raisers to $2,075.00. Great job MEMBERS.
  • Total paid out this month is $1,119.56.   ATV Dues $650.00 Gas for Trail master $ 469.56 for two months.
  • Total deposit was $1675.60 membership, family fun day, and trail donation boxes.  Most of the $750.00 lobster raffle was deposited last month.
  • Club will need Stickers for the ATV’s next year and a motion was made to buy 1000 for $435.00 and carried.

  • We have 165 members; we had 149 last year at this time. When we ended our season last year we had 162 members.
  • We have 31 Business renewed and still waiting for 3 more.
  • We have 5 new Businesses and 20 new members so far this year.
  • Landowners Picnic Sept 10th I have the list of food if anyone has not offer to make anything and would like to please come see me after the meeting or email me with what we need.  Thanks
  • Our 50/50 winner was Ruthann Smith $13.00 she donating it back to the club thank you Ruthann.
  • We are still in need of a Secretary. If anyone would like to volunteer with great people and a lot of fun please call Don Plante 246-5946 or email him.

I would like to take a minute of your time to sadly say that at Octobers meeting I will be resigning from Treasurer / Membership / and somewhat Secretary.  I don’t want to, as I have to for personal health conditions.  It has been a real pleasure, the members I have meant and spoke with were all great and made me feel like family Thanks a bunch.  And whoever takes over, will enjoy the nice and fun members we have in this club.

Also when the new person starts if I am here at the camp I will be more than happy to help show them what and how I did things in the past years, which is very easy. I also have all the info on a flash drive for them.  So please think about these positions and call Don Plante and or come to the October meeting as this is our election month.

  • June 23 – Carl, Bill from AFM and I did a ride around the boneyard to check out a new trail that would bypass the boneyard boardwalk and rocky areas.
  • June 27  – Carl and I worked the powerline moving rocks.
  • June 28 – Carl and I made a couple of wash out guides on the Brochu’s bridge.
  • June 29 – Carl and I cleared rocks in the Stratton trail and signs.
  • June 30 – Carl and I did brushing on the lake loop.
  • July 1 – Sam from Wagner and I checked out logging areas for future cutting going on around our trails. Intersections 14, 27, 28.
  • July 7 – Carl and I repaired boardwalk off Rt 27 from a fall though side by side.
  • July 8 – Brian Bronson, Tom Lapointe and I did GPS on three different areas one for a possible new short cut to Tea Pond, Butler Brook bridge area and Plum Creek Rt 27 Road.

  • Family Fun Day is Saturday, June 25th. The theme this year is “The Old Days”. Don’t forget to deck out your ATV and join the parade. Meet at CMP parking lot by 10:15 a.m.
  • Tea Pond Lodge and Camps club ride will be Saturday, July 16th rain or shine. Food will be Barbeque chicken, hamburgers, french-fries, salad, dessert, water and soda for $13.00. Please call Don Plante 207-246-5946 or email him at damp@tds.net before July 4th if you plan on going.  Meet at Eustis (Johnny’s) Parking by 9:00 a.m.
  • Tim Pond Camps club ride will be August 13th. We will update food, price and time at July’s meeting on the 10th.
  • Lobster Raffle tickets almost sold out.
  • Family Fun Day is June 24th please stop by our Strawberry Shortcake table, French fry, fried dough table and our clothes, membership and 50/50 raffle.
  • New route through Cathedral Pines is doing well. People seem to be respecting it.
  • Landowners Picnic will be held on September 10th at site O at the Pines. If a rainy day will be held at the community hall in Stratton.
  • Sugarloaf Marathon committee thanked us for our donation and it went to the Sugarloaf Trust Charitable. Marathon had a marker at mile 2 as a sponsor  from Flagstaff Area ATV Club.
  • Members Jeff and Joyce Hamilton asked the club to sponsor them in the Patrick Dempsey Challenge walk for cancer. Club voted to sponsor them for $75.00 each.

  • Memorial Day Tent Fund raiser, Matt Horton donated a new helmet and gloves to the club we made $55.00, Thank You Matt Horton, Jimmy Brouhc donated half his sales of his yard sale items of $77.00 and Mary Brouhc made a raffle of a three items, Country Charm donated a set of baskets won by Tina Ryan, Sign won by Katelyn Bersette and Flower Deer Planter won by Elaine Marcoux, we raised $94.00.  Thank You to Matt, Mary and Jimmy. We appreciate all you do for the club.
  • We made $95.00 clothes, $90.00 memberships, $39.00 fried dough, we have our 50/50 raffle $29.00 the winner was Joyce Hamilton, and she gave her $29.00 back to the club. Thank you Joyce.
  • Got the bill for our website $200.00 for hosting and $37.50 for posting activities (newsletter, pictures and noticing) total $237.50.
  • Got the bill for our Liability Insurance – Peerless Insurance $510.00
  • Paid out $104.00 trail master gases, $200.00 Stratton Summer Recreation, $237.50 Website – Pine Tree Publishing, $510.00 Liability Insurance, and $34.00 Regis Rhino. May 16th paid trail fund $2,000.00
  • Deposits  $2,389.00  memberships / Memorial Weekend tent sales / Donation Trail Fund boxes at Pines Market and Flagstaff General Store ($77.00)
  • We are doing fine for the beginning of our season.
  • Passed out new Maps to local Business and have collected $498.00 so far.
  • We have 100 hundred maps gone to Businesses in the Rangeley area.

Trail Master Joe Marcoux Report, erm@myfairpoint.net

  • May 17-21 – Joe G, Carl, and I went to Butler Brook Bridge and worked 5 days on bringing all the telephone poles out and setting them up for Johnny Morris to finish the bridge. As of May 31 the bridge is completed open.
  • May 25 – Joe G went to intersection 18, 19 and 20 cuts trees.
  • May 27 – Carl and I drove to all areas and pulled the closed signs and opened up the trails.
  • May 29 – Don did signage and repair the pines boardwalk for walkers and mountain bikes.
  • May 29 – Carl, Jeff, Joyce, Elaine and I worked the Tea Pond trail, filled in holes, trimming from signage, and posting signs.  
  • May 30 – Carl and I went to the bridge to Tea Pond and repairs holes.
  • June 3 – Joe G. and Carl went to Sawyer Brook and repair the boardwalk.
  • June 4 – Don and Carl finish the Sawyer Brook boardwalk repairs.
  • June 9 – Carl and I went to the bridge to Rt 27 toward Carrabassett trail and repaired it.
  • June 11 – Carl, Jeff, Joyce, Elaine and I worked the Tim Pass Loop, signage, cut tree, and removed down trees, brushing.

  • Memorial Weekend May 28th Saturday ATV Club members have a table at the Flagstaff Fuel selling T-Shirts and Hats, Membership, Fried Dough, 50/50 Raffle and others things.   Please stop by and say Hi and enjoy the goodies we have.
  • Quill Hill will be gated starting July 1st.  There will be a $5.00 charge for ATV’s and $10.00 per Auto vehicles.  This is to help with the upkeep of the road. Remember! Abuse it and we Lose it!
  • Family Fun Day is June 25th Saturday the theme this year is The Old Days. Don’t forget to deck out your ATV and join the parade.
  • Club motion to paid Stratton Summer Rec Program $200.00.
  • Tim Pond club ride with be Aug 13th Saturday rain or shine. Will update next month on times and place.
  • Tea Pond club ride will be July 16th Saturday rain or shine.  Will update next month on place and time.
  • Our Annual Landowner/Member Cook Out will be on Sept 10th Saturday at Site O at Cathedral Pines campground.

  • We are in negation with the landowners on the Rangeley side to reopen that section of the Moose Loop. We hope to have an answer by the 1st of June.

  • Paid out   1280.00  ATV ME dues,  Indian Permit 150.00
  • Deposits  2,815.00  memberships
  • We are doing very well for the beginning of our season.
  • Passed out new Maps to local Business and have collected 270.00 so far.
  • We have 200 hundred maps going to Business in the Rangeley area.
  • Motion made and passed to put $2000.00 in the Trail Fund.

  • We have 122 memberships; we had 111 last year at this time.
  • We have 20 Business renewed and still waiting for 15 more.
  • All 122 packets for renewals and new members were mailed May 13 Friday with the new map and stickers.
  • 50 / 50 Raffle was $18.00 won by Joyce Hamilton.

Trail Master Report: Joe Marcoux, erm@myfairpoint.net

  • April 30 Carl, Jeff, Joyce, Don and I made the new trail around the Pines Boardwalk.
  • May 10 Joe G cut a tree in the road on Plum Creek Rd.
  • May 11 Joe G, Carl, and I did signage and brushing on Butler Brook trail and Lake Loop Trail.
  • May 12 Joe G, Carl, Jeff, Joyce, Elaine and I worked all day doing brushing on the Butler Brook Trail.  Still have another day or two of work on that trail.  And checked Bradbury Brook, will need work but passable.
  • Spoke with Johnny Morris Friday morning and he is going to speak with his officers so we can get our meeting done next week and hopefully rebuild the Butler Brook Bridge.
  • Mr. A. Brochu called me about Quill Hill he has changed his mind and will be starting this July 1st on charges to go up to Quill Hill $10.00 for Auto and $5.00 for ATV’s.
  • Mike Ferguson will be calling me when he wants to start the Rangeley Bridge and will be splitting the cost of the material.
  • Members concerned for signage on Tim Pond Rd about trails closed until May 28th and are using the road.   We will post it No ATV’s.
  • Had the Rhino serviced at Rev It Up couple of weeks ago. It needed a complete turn up (face left).  Brake shoe, brake line, wheel bearings calipers, oil job, etc.  Total was $1,140.00.
  • Officer Scott Stevens thanked the club for all the work that we are doing to help enforce the laws.
  • Trails open May 28th per all Landowners. Enjoy, have fun, be Safe and be Respectful of their Land or we lose IT. Thank You!

  • Don will represent us at the Selectman’s meeting to discuss the new hitching trails.
  • Landowners & Members Picnic is Sept 10th at Cathedral Pines Campground.
  • Four members will attend the annual ATV MAINE Banquet next weekend representing the club.
  • Next month meeting will be May 15th at the community hall at 10:00.
  • Memorial weekend Flagstaff Fuel is having a celebration and have offended us a table to sell T Shirts and Hats. Also forms to join the club on May 28th.

  • Sugarloaf Marathon fundraiser for Franklin County Charities asked for a donation. Motion made & carried for $100.00.
  • We are hopeful that there will be a resolution to the trail between Rangeley and Phillips, to be able to ride soon.

  • We deposited $2,600.00 from renewal memberships and maps.
  • We paid out $530.00 from last meeting bills and donations motions.
  • Were all set for the season! Great beginning of the season.

  • We got 61 renewals this month.  We have 72 total and 10 are Businesses.
  • I will be mailing out the packets with our new map in it to all renew members around May 12 to 14th.
  • Raffle winner was Nancy Charest $20.00 she donated it back to the club Thank You Nancy.

Trail Master Report: Joe Marcoux, erm@myfairpoint.net

  • Quill Hill will be open this year as long as ATV riding respects the trail and Landowners rules.
  • May 28th Saturday AFM   may allow us to open the trails this year.
  • John Morris and Joe Marcoux will meet with officers on both clubs next month to discuss our combined and multi used trails. The purpose is to determine how we can work together to maintain those trails.
  • Bridge at Butler Brook needs to be repaired.
  • Bridge on the Rangeley trail will also need some work.  Rangeley ATV club has offered to help.
  • Volunteers needed for Signage, Brushing and Bridge work.  Please call Joe Marcoux at 207 602-8166.
  • Cathedral Pines boardwalk will be closed this year.  We have a reroute all set up. We have told Cathedral Pines that we will repair the boardwalk for the bicycles and walking use.  Want to Thank Cathedral Pines for letting us use it all these years.

  • Season Meeting Dates  Mar 13, April 10, May 15, June 12, July 10 Aug 14, Sept 11 and Oct 9.
  • Quill Hill Landowner is willing to let us use it again only if ATV users use it according to posted landowner rulers. “15mph. No Spin, Vehicles have the right of way”     
  • Trail Change. New section around Cathedral Pines it will be marked so keep your eyes open!
  • Club Rides to Tim Pond & Tea Pond Campgrounds will be scheduled.  We’ll keep you posted on times & dates.
  • Motion to send Representatives to ATV Maine Banquet/Meeting in Brewer. Don P, Bruce M, Joe and Elaine Marcoux will attend April 16th.
  • New Canadian hiking trail. No News
  • Eustis Town reports 70 residents register their machines and only 13 are club members – Ask your friends to join.
  • Motion to do Lobster Raffle with Lions Club again this year,  passed. Please pick up your tickets from Don Plante, this is our big money maker.
  • Thank You to Jeff & Joyce Hamilton for donating (2) boxes for our Trail Fund Donations to be put in our local Businesses.
  • Memorial Day Celebration at Flagstaff General Store. We will set up a table to sell our clothes line and other Club info on Saturday May 28th.
  • Motion made to pay the town for use of the building & the printer (maps and newsletters) passed $120.00.
  • Motion made to donate for the Masons Books for Bikes program $200.00 passed.
  • Motion to donate $100.00 to Pine Tree Society passed.
  • By-Laws changes all Passed.  All renewals will get the new changes in their packets the end of May.
  • Motion for the club to rejoin ATV Maine $50.00 passed.

  • We are doing OK with funds to start out our 2016 season.
  • We made  a $300.00 deposit from membership so far.
  • Also got $45.00 for  hats.
  • We have paid our Annual State report for $35.00.
  • 50/50 Raffle was $62.00, winner was Liane James $31.00.

  • Over 186 invite letter will be mailed out March 26, 2016.
  • We have 9 membership as of today 4 are new and one of the new is a Business. Fox Carlton Pond Campgrounds in Phillips.
  • As I stated in the October newsletter last year, I will be mailing out the packets (map, stickers, membership card) the second or third week in May just before the trails open.

  • Please contact Joe Marcoux at 207-6028166 if you have any time to do trail work & signage in the middle of April.  Equipment ready to go.

  • Trail Signs – More Recognizable at an ATV Trail.
